The Covid pandemic created obstacles that prevented scientists from meeting face to face, yet it was essential for them to communicate their findings and advancements during this urgent chapter in the global response to the crisis.



Aim:

Create a virtual conference that facilitates a robust and meaningful exchange of ideas among scientists, mirroring the depth of interaction found in in-person gatherings.

Challenge:

Moving beyond standard video calls, our aim was to give participants the feeling of being on location—right from their computer. The goal was to foster engagement and interactivity, allowing attendees to experience poster sessions, join live presentations, and connect spontaneously with others.

Solution:

The decision was to transform the traditional Stieglitz hotel venue into a virtual space by incorporating computer-generated poster boards featuring content presented as PDFs throughout the familiar exhibition area, allowing attendees to engage in a manner akin to their in-person experience. The live conference component would take the form of a virtual event hosted within the usual atrium, complete with a live host and a lineup of guests. Participants would have the opportunity to ask questions during the presentations through chat, and the presentations would also be available for later access.

6 Degrees of Freedom

During this visit, we showcased our freedom of movement functionality by creating a 3D model of the hotel’s main meeting area. Using 360° images as textures, we generated a photorealistic, navigable three-dimensional version of the room, allowing users to explore it as if they were physically present.

3D Poster Masking

All presented posters were digitally rendered and displayed in an interactive virtual environment, allowing attendees to explore the poster exhibition much like they would in real life. Additional information was linked in a window below each poster, which also featured a chat function for quick and seamless interaction.

Live Embedded Talks

All talks were streamed into the virtual venue, enabling attendees to “take a seat” and watch presentations in the main presentation room. This was accomplished through an embedded frame within the 360° environment, linking to a live stream. This setup allowed viewers to remain immersed in the 360° setting while engaging with the speakers in real-time.

The End of an Era

The conference took place at the historic Steiglitz Hotel in Berlin, which, unfortunately, was demolished less than a year afterward. This virtual event not only encapsulates the vibrant scientific dialogues that unfolded but also symbolizes the conclusion of a significant chapter in the hotel's storied history.

Global Significance

This conference held global significance as it took place during the COVID pandemic, a time when the scientific community was focused on zoonoses—diseases that can transfer from animals to humans, like COVID-19. While the virus itself was not the sole topic of discussion, the online gathering brought together leading experts from around the world, making it a critical event for advancing research in this field.


